Job summary

The Executive Assistant to the Director – Business Banking provides high-level strategic, administrative, and coordination support to ensure the effective functioning of the Business Banking leadership office.

The position requires absolute professionalism, discretion, strong business acumen, and the ability to operate confidently when engaging with senior executives, regulators, clients, and internal stakeholders.

Key accountabilities

Director’s office management, hospitality and resource support

  • Manage the Business Banking Director’s calendar, meetings, travel, and priorities to ensure optimal use of time.
  • Act as the primary point of contact between the Business Banking Director and internal and external stakeholders.
  • Prepare agendas, briefing packs, presentations, and meeting materials for various engagements.
  • Track follow-ups, action items, and deliverables arising from various engagements.
  • Coordinate and arrange appropriate refreshments for executive and client meetings in accordance with company hospitality standards and, where applicable, client preferences.
  • Maintain the hospitality inventory, including tea, coffee, water, and related supplies, and ensure timely replenishment.
  • Ensure meeting areas are clean, well-organized, and promptly reset after engagements.
  • Ensure Business Banking colleagues have appropriate and functional working tools, including: Laptops, Docking stations, Access cards, Printers, Office supplies
  • Liaise with the IT and Facilities teams to resolve equipment, system, or infrastructure issues promptly.
  • Monitor and coordinate the maintenance, repair, or replacement of faulty equipment.
  • Facilitate onboarding logistics for new team members, including workspace setup, system access, and tools allocation.
  • Maintain an up-to-date inventory of departmental assets and supplies.
  • Manage Business Banking stationery ordering and distribution.
  • Monitor stock levels and ensure the timely replenishment of office supplies.
  • Maintain accurate records of stationery usage and inventory.

Strategic and relationship management

  • Support the preparation of various Business Banking documents.
  • Conduct basic research and compile insights on market trends, clients, and sector developments.
  • Interface professionally with: Board members and executive leadership, Government officials and regulators, Large corporate and institutional clients, Development finance institutions and partners
  • Coordinate client meetings, courtesy calls, and high-level engagements.
  • Ensure consistent executive communication and follow-up.

Governance, compliance and confidentiality

  • Handle highly confidential information with integrity and discretion.
  • Support governance requirements, including document control, approvals, and record-keeping.
  • Ensure the timely submission of executive documents in line with NBC governance standards.
  • Maintain organized physical and electronic filing systems.

Communication and correspondence

  • Draft, edit, and manage executive correspondence, including letters and memoranda.
  • Prepare speeches, talking points, and executive briefing notes.
  • Ensure all communication is professional, accurate, and aligned with NBC’s tone and standards.

Coordination and project support

  • Coordinate cross-functional initiatives within Business Banking, including: Strategy rollouts, Sector desks, Transformation programmes
  • Track progress on key Business Banking projects and escalate issues where required.
  • Support logistics for conferences, leadership sessions, and client events.

Qualifications and experience

Applicants must have:

  • A bachelor’s qualification in one of the following fields: Secretarial services, Business administration, Finance, Economics, Law, A related field
  • A minimum of five to eight years of experience as an Executive Assistant or Senior Personal Assistant, preferably within: Banking, Financial services, A corporate or professional services environment
  • Experience supporting executive-level leaders.

Technical and professional skills

  • Strong proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.
  • Excellent business writing and presentation skills.
  • Understanding of banking, corporate finance, or investment banking environments.
  • Ability to manage complex schedules and multiple priorities.
