Responsibilities

Human Resources

Develop, redesign, update and implement Standard Operating Procedures (SOPs) and policies, aligning with BORDA Office country labour law, regulations, and BORDA’s objectives

Prepare, update, and maintain employees and consultants’ database, ensure that all employees and consultants’ contracts and personnel files are up to date and in compliance with HR system

Prepare monthly payroll in compliance with BORDA policies from each month including all government related regulations, and submit the approved payroll to the Finance department to proceed with the payroll bank transfer

Implement employees’ training and development, and plan career path and succession planning for the office team

Office Administration

Supervise day to day operation for the Office Administrative Assistant, Driver, Cleaner, Security Guard and Gardener, within adherence of the Admin policy and procedures relating to performance, keeping deadlines and quality compliance

Responsible for the timely submission of mandatory reports (e.g. Annual Audit, Annual NGO report, Quarterly/Annual donor reports, and other reports based on contractual agreements and local NGO regulations) and applications for any other statutory permits as per local regulations

Information Technology (IT) and Knowledge Management (KM), with support from the Administrative Assistant

Responsible for network administration with the support of the external IT consultant and ensure software and IT equipment of all staff are up-to-date;

Other

Carry out any other related responsibility assigned by the Country Director or Country Programme Coordinator and support other activities as required by the management.

Requirements;

Educational Qualification

BA/MSc in office administration or related field

Work experience and skills

Minimum of [4-7] Years of experience in HR & Admin

Legal and/or Finance Experience added advantage

Communication

Strong verbal and written communication abilities, Strong phone, email and in-personal communication skills

Personal

Experience in time management

Experience in building effective teams

Strong attention to detail and confidentiality

Management

Experience in developing Policy and Procedures

Excellent team working skills

Excellent Reporting skills

Technical

Excellent Computer literacy (MS Office applications, in particular)

Excellent in typing in both English & Swahili
